KRA PIN Registration Requirements in Kenya: The Complete Guide You've Been Looking For

Published onMarch 17, 2026

Introduction

If you have ever tried to open a bank account, register a business, buy land, get a job, or do almost anything financially significant in Kenya, you've probably heard those three letters that send some people into a mild panic: KRA PIN. And if you're reading this, chances are you either need one, you're confused about the documents required, or someone told you the process is complicated and you want to figure it out before you start.

Well, take a breath. We've been helping Kenyans navigate government digital services for a while now, and KRA PIN registration is one of the most common things we handle at Cyber Mfukoni. The truth is, the process is not as complicated as people make it out to be. As long as you know exactly what documents you need before you sit down at that computer.

In this guide, we are breaking down the KRA PIN registration requirements for every category of applicant. From Kenyan residents to refugees, non-Kenyan investors to diplomats, students to retirees, and everyone in between. By the time you finish reading this, you will know precisely what to gather and what to expect when you head over to the iTax portal to register.

Let's get into it.

What Is a KRA PIN and Why Do You Even Need One?

Before we get to the requirements, let's make sure we are all on the same page. The KRA PIN (Personal Identification Number) is a unique identifier issued by the Kenya Revenue Authority to individuals and businesses for tax purposes. Think of it like your tax ID. It is what KRA uses to track your tax obligations and compliance history.

But here's the thing: a KRA PIN is no longer just a tax document. These days, you'll need it for:

  • Employment – Most employers require your PIN before they can process your payroll

  • Business registration – You cannot register a business without a KRA PIN

  • Bank account opening – Banks require it for KYC (Know Your Customer) compliance

  • Land and property transactions – Buying or selling land? PIN is mandatory

  • Importing and exporting goods – Customs clearance requires a valid PIN

  • Government tenders – No PIN, no AGPO or tender access

  • Driving license and vehicle registration – NTSA links these to your PIN

  • Higher education loans – HELB requires a PIN from guarantors and applicants

In short, the KRA PIN has become the backbone of financial and legal identity in Kenya. Getting one is not optional — it's essential.

Now, let's look at what documents you need depending on your specific situation.

Requirements for Kenyan Residents

If you are a Kenyan citizen or a legal alien resident, this is the simplest category to fall under. To register for a KRA PIN, you will need:

  • Your National ID or Alien ID Card details

  • Employer's PIN details (if you are employed)

  • Business registration certificate details (if you run a business)

That's it for residents. The process is almost entirely online through the iTax portal, and in most cases, your PIN certificate is generated instantly upon successful registration. If you want to understand how to update or change your KRA PIN details after registration, we have a separate guide for that. Check out our article on how to change your KRA PIN details online.

Requirements for Non-Kenyan Employees (Residing in Kenya)

Are you a foreigner working in Kenya? Welcome! Kenya is a regional hub for East and Central Africa, and thousands of expatriates call it home. If you're employed here and need a KRA PIN, here's what you'll need to bring:

  • Letter of introduction from your employer

  • PIN of the employer

  • Original valid passport of the applicant

  • Valid work permit or special pass — and the name of your employer must appear on the permit

  • Confirmed endorsement of the work permit in the passport

  • KRA PIN application acknowledgement receipt (generated from the iTax portal)

One key thing to note: the work permit must have your employer's name on it. Discrepancies here are a common reason applications get flagged or delayed, so double-check that detail before you show up.

Requirements for Non-Kenyan Investors

Kenya is actively attracting foreign investment, and KRA's requirements for investors reflect the documentation that comes with doing business at that level. If you're a foreign investor seeking a KRA PIN, here is what you need:

  • Letter of introduction by a tax agent

  • PIN of the tax agent and a valid Tax Compliance Certificate (TCC) of the tax agent

  • Letter of appointment of the tax agent by the applicant

  • Documentary proof of investment — this can include a Certificate of Incorporation/Compliance, CR12, CR8, CR2, a project proposal, or a KenInvest application

  • Endorsement by Kenya Investment Authority (KenInvest) — required for investments exceeding USD 100,000

  • Class G Investor's Permit — for investments of less than USD 100,000

  • Original valid passport of the applicant, or a certified copy of the passport if you're residing outside Kenya

Where and How to Register: The iTax Portal

All KRA PIN registrations are processed through the KRA iTax portal. Here's the general process:

  1. Visit the iTax portal at itax.kra.go.ke

  2. Click on "New PIN Registration" on the homepage

  3. Select your taxpayer type (Individual or Non-Individual)

  4. Fill in the required details in the online form

  5. Upload the necessary supporting documents based on your category

  6. Submit and download your acknowledgement receipt

  7. For non-residents and special categories, the physical verification may be required at a KRA office

For residents, the PIN is usually generated immediately. For non-residents and special categories, you may need to visit a KRA domestic taxes office in person with your original documents.

Common Mistakes to Avoid

Over the years of helping clients with KRA services at Cyber Mfukoni, we've seen the same mistakes come up again and again. Here is what to watch out for:

  • 🚫 Submitting blurry or low-quality document scans — KRA officers will reject applications with illegible uploads. Use a proper scanner or a scanning app.

  • 🚫 Mismatched names — The name on your ID, passport, and application form must all match exactly.

  • 🚫 Expired documents — Work permits, passports, and Refugee IDs must be currently valid at the time of application.

  • 🚫 Missing the employer's name on the work permit — For non-Kenyan employees, this is a frequent rejection reason.

  • 🚫 Using an unregistered tax agent — For categories that require a tax agent's involvement, ensure your agent is KRA-registered and has a valid TCC.

  • 🚫 Not downloading the acknowledgement receipt — Many categories require this receipt as part of the physical submission. Don't skip it.
